Event Planning Timeline

Planning a party or event with Loopy Lou? Here's a handy timeline to help everything go smoothly — from booking to balloons and big smiles on the day!

4–6 Weeks Before the Event

  • Choose your date, time, and venue
  • Book Loopy Lou (party package, workshop, or act)
  • Decide on a theme or colour scheme
  • Send out a save the date (if needed)
  • Draft your guest list
  • If required: arrange venue deposit or contract
  • Book any extras (e.g. cake, photographer, decorations)

2–3 Weeks Before

  • Send invitations (paper or digital) with an RSVP deadline
  • Confirm guest numbers
  • Order cake and any special food
  • Buy or order party supplies: plates, cutlery, tablecloths, balloons, decorations, etc.
  • Plan your party schedule (entertainment, food, games)
  • Arrange any helpers (friends or family)
  • If entertainment includes walkabout or is outdoors, check the weather forecast and make a backup plan

1 Week Before

  • Finalise guest numbers and send a reminder
  • Purchase or finish any DIY decorations
  • Prepare party bags or treats
  • Confirm all suppliers/entertainers
  • Charge your camera or phone for photos
  • Clear/prep your venue or party space
  • Pack a basic first aid kit (plasters, wipes, tissues, etc.)

1–2 Days Before

  • Pick up cake and food (if using external suppliers)
  • Create a simple schedule/map for the day so helpers know what to do
  • Check that everything is packed and ready: props, instruments, treats, balloons, etc.
  • Have plenty of bin bags for clean-up
  • Prepare any food or refreshments that can be made ahead

On the Day

  • Arrive early to set up
  • Make sure the entertainer has enough space and easy access to props
  • Keep a backup plan ready (especially for outdoor events)
  • Have refreshments available for guests and helpers
  • Take lots of photos
  • Enjoy the moment — take a breath, smile, and have fun!

After the Event

  • Clear up the space
  • Send thank you notes (if you like)
  • Follow up with feedback or a review — it really helps small businesses like mine!

Thoroughly Enjoyed!

My girls aged 4 and 8 had a joint party and Loopy Lou kept them and their 30 friends entertained the whole time! Everyone thoroughly enjoyed the magic and games. I’d definately recommend.

Plenty of Laughter!

Excellent Kids (and Adults) Entertainer. Kept everyone entertained for the full 2 hours and we heard plenty of laughter all through. Lots of activities to choose from and never a dull moment. Thanks for making our party the best!

Excellent Entertainment

Loopy Lou has visited us on several occasions including twice whilst I have been in office. She has been brilliant on each occasion. The children have been captivated and entertained throughout. And always left with a smile… thanks Loopy Lou.

Fantastic Entertainer

Loopy Lou has done two of my children’s parties this year and she was amazing! She catered for children of all different disabilities and took the stress off me for the whole time. Amazing lady and I will definately be seeing her again. I would advise that any age or disability would enjoy her shows.

Brilliant Entertainer!

My little boy had a blast at his 4th Birthday Party. Loopy Lou entertained 40 children for 2 hours seamlessly. They were enthralled at the Magic Show (amongst other activities) and loved lots of interaction with Loopy Lou. Professional booking practice and fab communication via email. Everything was explained thoroughly in writing and again when Loppy Lou arrived at the party. Really well organised. Wouldn’t hesitate to book her again for our next party or recommend to friends.

A must for childrens parties!

Fantastic! Totally professional and very tallented. She was enthusiastic and really knew her stuff. She kept 25 kids thoroughly transfixed for two hours, which is no easy task. Fun and laughter for all the children. And the parents were entertained as well! Will be booking her again for sure.

Brilliant!

Lovely lady. Kept 20 children entertained aged 3 to 7. Very attentive to the needs of the “Birthday Girl”, who has learning difficulties but had the best birthday ever! Parents also enjoyed the magic and even Dad had to get involved. We will be booking Loopy Lou again. The good thing is that she is happy to meet your needs and adjusts the entertainment to the appropriate level of the children.

Fantastic 4th Birthday Party

We had Loopy Lou for our daughter’s 4th Birthday party and we was really impressed. She got all the kids involved and we felt we got our money’s worth. Would really recommend to anyone. Very polite and turned up early too. Thank you for a great day for my daughter.

Childrens Christmas

I felt that I needed to write a review on the excellent Christmas entertainment provided by Loopy Lou for both Heath & Holmewood Parish Council and also Denby Parish Council. I would highly recommend this entertainer. A first Class service!
